From a previous review of The Project Economy’s survey and study of AI’s reception in the project world, it was established that project experts and practitioners were increasingly acknowledging AI’s potential to revolutionise project management practices.
Most recognise the impact that AI will have on the profession whether it is to a moderate or even significant degree. But what does the impact due to the application of AI look like for the project professional and how can recent innovations be utilised for increased project success.
In an environment where organisations and thus their projects must adapt to dynamic change where strategies may not stay relevant for more than a few years, AI can improve project delivery techniques and approaches for increased project success in such conditions.
Automation vs Assistance
The use of AI in projects with the lowest barriers is in the automation of daily tasks with low complexity, such as taking meeting minutes, report generation, summarising and calculations. When the daily problems faced by project managers are largely related to people, AI can relieve the project manager of mundane and repetitive tasks allowing greater effort to be afforded to resolve these people issues and other higher-level tasks. Most project managers will find that they can utilise AI the most when it is embedded into software packages thus encouraging more effectively planning as it automates and assists the creation of project outputs as well as being able to track and monitor progress for more precise project measurement. Project managers don’t require advanced technical skills to be able to leverage AI.
At the next level, project professionals can leverage AI to assist with tasks of moderate complexity which require input and revision from the project manager to build their project outputs. Such uses include data analysis, developing first drafts and curating recommendations for decision making. Project managers can leverage AI’s assistance for their team collaboration and performance through tracking internal communications and identifying the gaps in the network structure to improve team performance. Furthermore, AI can be used to track, suggest appropriate communication and even automate initiating communications with stakeholders with capabilities to assist in classifying and analysing them.
It is evident that AI will disrupt project processes as it sees uses in a significant number of domains such as project selection and prioritisation for its forecasting capabilities and risk management as AI excels in diminishing uncertainties by analysing historical data and identifying trends in them for predicting potential risks early. The explosion of AI has inevitably shifted the role of today’s project manager. Where technological innovations can now automate and assist the project manager, the value of soft skills and leadership capabilities are even more significant. It is essential to find the balance between AI-driven insights and human expertise as an overreliance on technology diminishes its value to improving project processes. Project managers will also have to develop new skills to leverage AI tool and potentially data analysis which requires training and support from their organisation to ensure AI’s successful integration into daily work.
